HUAWEI Exhibition Area of WEC Rotterdam 2024 is operated by Huawei Technologies Co., Ltd, Office Building of Huawei Headquarters, Bantian, Longgang District, Shenzhen (“Huawei”, “us” or “we”) who provides technology and management support. As the data controller, Huawei is very aware of how important your privacy is to you, and is committed to respecting your privacy. This Privacy Statement ("this Statement") describes how Huawei uses your personal data and protects your privacy when you visit HUAWEI Exhibition Area of WEC Rotterdam 2024 (“the Exhibition”). 1 How We Collect and Use Your Personal Data

Personal data is any information or data that may identify an individual or individuals when being used independently or jointly with other information. This statement informs you on how Huawei process your personal data and provide you services during the WEC.

The personal data we collect and process includes:

• Booking the flight and hotel: After obtaining your consent (as per Article 6 (1)(a) GDPR), we will collect your Name, copy of ID/passport, Telephone, Email, Visit and Departure Date, Company, to book the flight and hotel.

• Promotion of the event: To promote the event, we will take photos of the event in general manner. This processing scenario is based on our legitimate interest of marketing the event held by us, as per Article 6 (1)(f) GDPR. If you do not wish any further use of the photographs and recordings showing you, please access our Personal Data Management Request Platform:

• Photograph and video shooting in general about the event / venue: we may take photos and videos to promote the popularity of the event and present the venue in general. Your image may be fully or partially included unintentionally as an accessory image of the event. This processing scenario is based on our legitimate interest of marketing the event held by us, as per Article 6 (1)(f) GDPR. If you do not wish any further use of the photographs and recordings showing you, please access our Personal Data Management

• Download conference materials: Based on our legitimate interests in marketing the Exhibition and promoting our business and products, as per Article 6 (1)(f) GDPR, your personal data, including your last name, first name, email address, phone number (optional), country, region, company, industry, and subscription to Huawei marketing information, will be processed when you scan the QR code to obtain marketing materials at the WEC exhibition area. If you choose to receive via email the marketing materials, you will have to input your email address to receive the files after the first time you submit your personal information to download or receive via email the marketing materials.

• Media interview: The processing (including further promotion of the media interview), will only be based on the interviewee’s prior consent (Article 6 (1)(a) GDPR) obtained by signing/confirming the Authorization Letter. If you have not given us the authorization, your image, voice and/or other information will not be processed. You have the right to withdraw your consent at any time, or as described in Section 2 of this Statement.

• Lead management: We would further contact business participants for workshop, Point of Contact (POC) or ordering requests. This processing is based on your consent as per Article 6 (1)(a) GDPR. You have the right to withdraw your consent at any time, or as described in Section 2 of this Statement.

• Electronic Direct Marketing/EDM: After obtaining your consent (as per Article 6 (1)(a) GDPR), we may process your first name, last name, email, company name, industry and country/region, to send you the latest information of products, solutions and services, and the upcoming event available for your region. Your consent will be collected during your registration for downloading conference materials.

You have the right to withdraw your consent through the “Unsubscribe” option in any of EDM Email, or as described in Section 4 of this Statement.

2 How long and where do we store your data

The data retain period may vary with scenario and service. Your personal data will be stored in Germany, Ireland and the People’s Republic of China. After the retention period expires, we will erase or anonymize your personal data.

As a global company, your personal data collected by Huawei may be processed or accessed in EU or in other countries/regions outside EU. Huawei complies with GDPR applicable legal requirements for providing adequate safeguards by incorporating the Standard Contractual Clauses with relevant supplementary measures in such transfer.

For further marketing, we procured Smarket platform provided by Sinobase, which is deployed in the Republic of Ireland to store and remotely process your relevant data in People’s Republic of China. To have our local affiliates around the world to coordinate participants on our behalf, your relevant data will also be shared with them so they can produce your name tag.

All Huawei local affiliates outside of the EU/EEA will have access to the list of participants that are relevant for their country and who subscribed to Electronic Direct Marketing/EDM, so as to send out tailored promotion email in local language.

Video and photograph for interview will be disseminated to promoting channels as specified in the Authorization letter confirmed by you.

To respond to your request of workshop, Point of Contact (POC) or ordering, and to share with you more about our products, solutions and services, the relevant data will be shared to our customer development suppliers, and then to Huawei local MKT team or Huawei local channel partners in EU/EEA.


(3) Disclosures related to legal requirements and business transactions

Huawei may share your data in response to a legal process or request from a competent authority based on an applicable law or in connection with legal proceeding or process. Your data may also be disclosed as part of merger, acquisition, sale of assets (such as service agreements) or transition of service to a Huawei group or other relevant company.

You can enter into the Huawei Data Subject Request Portal to exercise any of your data subject rights.

Right of Access

You have the right to obtain from Huawei confirmation as to whether or not Personal Data concerning you is being processed and, where that is the case, access to a copy of the Personal Data and specific information about how Huawei processes your Personal Data.

Right of Rectification (Correction)

You have the right to obtain from Huawei the correction of inaccurate Personal Data concerning you and also the right to have incomplete Personal Data completed.

Right of Erasure (Deletion)

You have the right to obtain from Huawei the erasure (deletion) of your Personal Data in particular circumstances.

Right of Restriction

You have the right to obtain from Huawei restriction of processing in particular circumstances.

Right of Objection

You have the right to object to the processing of your Personal Data in particular circumstances.

Right of Portability

In certain circumstances, you have the right to receive your Personal Data in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller. Please bear in mind that the right of portability does not apply in the case of processing personal data on legal obligation or legitimate interests’ basis.

Right to Withdraw Consent

Where the legal basis of processing Personal Data is based on consent, you have the right to withdraw your consent at any time by providing a withdrawal notice to Huawei. Please note, however, that the withdrawal of your consent will not affect any use of the Personal Data made before you withdrew your consent.

Right to lodge a Complaint
